Booking, Deposit & Cancelation Policy
Deposit & Payment Terms
To confirm your reservation at Broomsedge Rod & Gun, the following payment structure applies:
- A 50% non-refundable deposit is required at the time of booking to secure your dates.
- The remaining balance is due 7 days prior to your scheduled arrival unless prior approval.
- Reservations made within 7 days of the hunt must be paid in full at the time of booking.
- Payments may be made by check, ACH, or credit card. A processing fee applies to all credit card transactions.
- Failure to pay the balance by the due date may result in cancellation of your booking and forfeiture of your deposit if prior arrangements have not been made.
Cancelation Policy
Effective for all guided hunts, lodging reservations, and private events at Broomsedge Rod & Gun
We understand that plans can change. However, due to the nature of our business — including limited hunt dates, guide scheduling, and lodging availability — we have established the following cancellation policy to protect both our guests and our operations.
Cancelations & Refund Eligibility
30+ Days Prior to Arrival:
- Your deposit is non-refundable, but may be transferred once to another available date within one year from the originally scheduled date.
- If rescheduling is not possible, your deposit can be used towards a membership or will be forfeited.
- If paid in full, half of the payment is eligible for refund, and your deposit can be transferred once to another available date within one year from the originally scheduled date, subject to availability.
7-29 Days Prior to Arrival:
- Your deposit is non-refundable, but may be transferred once to another available date within one year from the originally scheduled date, subject to availability.
- If rescheduling is not possible, your deposit can be used towards a membership or will be forfeited.
- Any additional payments made may be applied toward a future hunt within the same calendar year, subject to availability. Additional payments are not eligible for refund.
6 Days or Less Prior to Arrival:
- Your deposit is forfeited.
- No refunds or credits will be issued.
- If paid in full at time of cancellation, deposit is forfeited, and additional payments after deposit may be transferred once to another available date within one year from the originally scheduled date, subject to availability.
Weather & Lodge-Initiated Cancelations
- Hunts proceed in most weather conditions.
- If Broomsedge Rod & Gun must cancel a hunt due to extreme weather, unsafe conditions, or unforeseen circumstances, you will have the option to reschedule the affected portion of your trip to a comparable date at no additional charge.
No-Shows & Early Departures
- No-shows and early departures are not eligible for refunds or credits, regardless of reason.
Additional Terms
- Deposits are required to secure all reservations and are applied toward the final balance.
- Cancellations must be made in writing via email to be honored.
Alcohol Policy
Broomsedge Rod & Gun Alcohol Policy
At Broomsedge Rod & Gun, the safety and enjoyment of our guests, members, and staff are of the highest priority. In keeping with this commitment, we maintain the following alcohol policy to ensure a responsible and respectful environment at all times.
1. Legal Consumption Age
Alcohol may only be consumed by individuals who are 21 years of age or older. Valid identification must be presented upon request.
2. Service of Alcohol
Alcohol may be served during designated hours in approved areas of the lodge. All alcohol service will be conducted by staff in accordance with state and local laws. We reserve the right to limit or refuse alcohol service to any guest at our discretion.
3. Alcohol and Hunting Activities
Consumption of alcohol prior to or during any hunting activity is strictly prohibited. Guests must be sober to participate in any shooting or hunting events. Any guest suspected of being under the influence will be disqualified from hunting for the day, and no refunds will be issued.
4. Behavior and Conduct
Guests are expected to drink responsibly and behave respectfully toward others. Disorderly, disruptive, or unsafe behavior as a result of alcohol consumption will result in removal from the premises without refund. Repeat offenses or serious violations may result in suspension or revocation of membership.
5. Special Events and Exceptions
From time to time, Broomsedge Rod & Gun may host special events or dinners where alcohol is paired with meals or tastings. All standard policies remain in effect, and additional controls may be implemented to ensure safety.
6. Liability Waiver
By entering the premises, guests acknowledge and accept this alcohol policy and release Broomsedge Rod & Gun and its affiliates from liability related to alcohol-related incidents resulting from individual actions or violations of this policy.
